"Is my data safe?" is the right first question to ask about any AI tool — and the answer depends entirely on how the tool is built. Here's what actually happens to your information, in plain English, and the questions that separate a safe setup from a risky one.

Where your data can go

When you type something into an AI tool, a few different things can happen to it:

• It's used to train the AI. Some free tools improve their models using what you type. That's the one to avoid for business data.
• It's stored on the company's servers. Even if it's not used for training, your information may sit in someone else's cloud.
• It's processed and discarded. The best setups send only what a task needs, get the answer, and keep nothing.

The difference between these isn't visible from the outside. You have to ask.

The six questions to ask any AI tool

1. "Is my data used to train your AI?" For business use, you want a clear no.
2. "Where is my data stored, and for how long?" Less is better — a private, encrypted space isolated from other customers, kept no longer than you choose.
3. "Who can see it?" You want: only you.
4. "Whose AI account does it run through?" A tool that runs on your own AI provider account keeps your data under your control, not pooled into a vendor's.
5. "Can I export and delete everything?" The answer should be an easy yes.
6. "If I change AI provider, what do I lose?" The one almost nobody asks. Over months you teach a tool how your business works — your preferences, your corrections, your way of doing things. If all of that is held inside one AI company's system, you can't leave without starting over, and your data safety is only as good as your ability to walk away. The answer you want: nothing — it's held in your own workspace, and changing the AI underneath changes nothing else.

The safest pattern

The most private setup is one where your data lives in a space locked to you alone — encrypted, never mixed with other customers' — and every AI job runs through your own AI account, so your data is never pooled into public AI training. When a task needs an AI model, only what that task requires is sent.
